There are many great options out there! I encourage you to shop around for your EHR (it’s a big decision!), sign up for the 30-day free trials, and see which one feels best for you.

I went with SP for a few reasons when I was EHR shopping:

I wanted an EHR with an online intake portal for client paperwork.
I wanted an EHR with customizable note templates.
I wanted an EHR with a clean and user-friendly interface.
I wanted an EHR that auto-posted ERAs (SP calls them payment reports) so I didn’t have to manually track my insurance payments.
I wanted the option of using my EHR for online booking (which I still don’t use this SP feature but I still wanted it!)

Billing Software / Clearninghouse

Billing Software / Clearinghouse:

Shopping around for a clearinghouse is also no easy task! A clearinghouse is the middleman between you and the insurance company. A clearinghouse will ‘scrub’ your claims for errors before submitting them to the insurance company. Having a clearinghouse house will also speed up your billing process as many of them store client information for you and allow you to submit claims with only a few clicks of your mouse. Many EHRs already have their own clearinghouses or some make you choose a clearinghouse. For those who do not use an EHR, a clearinghouse is essential for billing.

My recommendations when looking for a clearinghouse:

Look for a national clearinghouse (usually have more payers they work with!)
Look at their payer list (do they work with all of the insurance companies you are paneled with?)
Check out their customer services and how they train their customers on their software
- Many clearinghouses have personalized remote training for their customers!
Make sure the clearinghouse you have chosen is compatible with the billing software you plan to use
- Some EHRs only work with some clearinghouses while other EHRs have specific clearinghouses they work with

I had a love/hate relationship with Quickbooks, but after hiring someone to ‘map’ it for me, I LOVE it. Quickbooks tracks my income from over 30+ panels/EAPs automatically (thanks to mapping) as well as my expenses. I actually use it to keep track of both my group practice and my consulting business. It easily links to your bank accounts for quick tracking.

Here is the accountant I used for QuickBooks mapping (not my actual accounting). They were quick and had great communication.

When I started my practice, I really wanted to use GSuite, because who doesn’t love Google, but I wanted to seamlessly be HIPAA compliant without having to do an extra step of clicking to ‘secure’ an email. Having a reliable phone system is key. After using GVoice for a while, I wanted to be HIPAA compliant (yeah….) and also wanted extensions for myself, an appointment line, any clinician I hired. I also really wanted an iphone app that was similar to Google Voice. I found all of that with Phone.com. For a very low fee, I am able to have a phone line with a menu, fancy hold music, and as many virtual extensions as I want which can all be directed to different phones. I was also able to port my Google Voice number so I did not lose it.

HIPAA Compliant E-Signatures (for client forms)

If your EHR does not have a client portal for paperwork (or does not work with certain forms), having another way to get electronic signatures from clients can help streamline your practice.

I’ve been using SignNow for a few years and I love it! You can take any PDF form and create text areas, checkboxes, and places where clients (and yourself) can sign. I use it for Releases of Information (in IL these forms need a witness signature) and all of my EAP paperwork that the clients have to sign. Once you set-up the initial form, you can save it as a template for easy access.

There is an iPhone/IPad app that you can use in session to have clients sign. You can also link it to your GSuite so it sends a copy of the signed form right to your Google Drive.
